Simplified Mailing Labels for MS Word


  1. Make sure a compatible address book exists on your pc
  2. Open MS Word / Open a Blank Document
  3. Choose Tools/Mail Merge a "Mail Merge Helper" box appears
  4. Click the "Create Button" then choose "mailing labels"
  5. Click "Get Data" then choose "address book"
  6. Select subfolder of address book if available
  7. Select "setup main document" if prompted
  8. Address label type selection box appears, select label type.
  9. "Create Lables" box appears. [ this is where you design the lable arrangement ]
  10. Choose what line to start on , then hit "insert merge field" to start.
  11. Choose
  12. the1st merge field to place into the label.
  13. Continue adding merge fields and inserting commas and spaces where necessary.
  14. When finished hit "OK".
  15. You should see the "Mail Merge Helper" box at this point.
  16. The "Merge" button should be activated [ not grayed out ]. Hit the Merge button.
  17. "Merge" box appears. Default options should be ok.
  18. Hit "Merge" button on "Merge" box
  19. A new document page should appear with the labels on it at this point.
  20. Make any necessary changes, such as the indents, etc.
  21. Print or save.
  22. Close and save "Main Document" that now has "merge fields" in it as a template.
    This template will appear when you select File/New/General
  23. Close program
  24. To repeat : Open Word, select File/New open this "template" and go to step 5. Get Data
  25. Skip steps 8 thru 13 they were used to create the template that we already have.
  26. Continue thru step 20

snags in printing labels with MS Word:

There are approximately 10,000 or more ways to do this. [I'm not exaggerating!]
Take the number of versions of ms word times the versions of ms outlook express, times the number of data fields times the number of avery label types times the number of customizations times the number of ways to save as a doc or template [in ms word], times the number of options in the selection process, times the number of hard drives on your pc times the number of users on your pc times the number of directories on your hard drive times the number of backups [I threw this in for effect] times the number of my documents folders , times the number of paper clip assistant options [MS Word help wizard] times the number of things that don't happen automatically etc, etc. Don't try this [all the combinations] at home. And don't be discouraged however use the links I put on this page.

make sure ms outlook is the default email program in IE setups [programs]!  If you have MS Outlook Express [or any other email program, you will experince knashing of teeth!]

selecting data fields for merging addresses into resulting Word Document: [when this comes up you will know what it is then]:When you insert "Merge Field" in "Create Labels" For example: <postal address> or  «Home_Address» is the entire address, don't add «Home_Address»; «City»; «State»; «ZIPPostal_Code» these will be superfluous, and you will get duplicates of those fields in the printout. This is sometimes available, sometimes not, you have to gamble, and try whatever shows up under "fields select" when that comes up. You may have to try changing this [address merge field] several times before you get it right.
 
when making the template [specifying label types] use 5260 not 2160 [unless you have 4" wide label sheets] make sure the page is letter 8.5x11 [usually]

ms outlook doesn't seem to let me select mailing lists folders within contacts [sometimes]

MS word opens second window with the labels filled in, this is confusing, don't let it bother you, you can save the generated page for another use [if you don't need updates]
